Privacy Policy

What we collect, why we collect it, and who else is involved. Card details are handled by Stripe and never reach our systems.

Scope of This Policy

This Privacy Policy explains what information The Elite Pianist, LLC collects when you visit our website, register interest, purchase a membership or use the member area, and what we do with it.

It describes our actual practices. Where a particular kind of information is handled by a provider rather than by us — card details, for instance — we say so.

Information We Collect

Account information

When a member account is created, we store the member’s email address. We may also store a name, where one is available from the billing record. Where a member chooses to set a password for the member area, we store only a cryptographic hash of it — never the password itself.

Sign-in to the member area is by a one-time link sent to the member’s email address. A member may additionally set a password from the account panel; we never issue a password.

Sign-in and session information

To keep sign-in working and to protect accounts against abuse, we store:

  • a hashed value of each sign-in session, rather than the session identifier itself;
  • a hashed value of each one-time sign-in link, together with its purpose, its expiry and whether it has been used;
  • the IP address a sign-in request came from, and a record that a sign-in was requested, which is what allows us to rate-limit the sign-in form;
  • the browser user-agent string associated with a session; and
  • timestamps for account creation, the most recent sign-in and the most recent activity on a session.

Membership status

So that the member area can tell what a member is entitled to watch, we store a record of the current membership: the membership level, the subscription status, identifiers for the customer, subscription and price held with our payment processor, the end of the current billing period, and whether the subscription is set to end at that point. This record is a cache of what our payment processor reports; the payment processor remains the source of truth.

Service usage information

Our hosting provider processes standard server request information — such as IP address, request time, the page or resource requested, and user-agent — as part of serving and protecting the site. The video players embedded in the member area are operated by third-party platforms, which receive the technical information they need to deliver playback.

We do not build advertising profiles from what a member watches.

Payment Information

Important

We do not receive or store full payment card numbers. Payments are processed by Stripe, and card details are entered on Stripe’s own hosted payment pages.

From Stripe we receive and store the information needed to administer a membership: the customer and subscription identifiers, the price and membership level, the subscription status, and the billing period. Stripe collects billing details, including billing address, directly for the purpose of processing the payment, under its own privacy policy.

At school checkout, Stripe also collects the school or district name in a custom field, so the subscription can be identified as belonging to that institution.

Forms and Scheduling

Senior living program request

The request form on our senior living page collects the information you type into it: your name, your community’s name, your job title, your email address, your phone number, an approximate number of residents, your city and state, and any notes you add. It is submitted through our hosting provider’s form service and used to respond to your inquiry.

Free concert registration

The free concert registration form collects your first name, email address and mobile phone number, and is submitted through the same form service. We use it to send you details of the event you registered for and related follow-up.

Scheduling an introduction

Where the site offers you the chance to book time with Jeremy, scheduling is handled by Calendly. On the senior living page the Calendly scheduler is embedded in the page; elsewhere we link to it. Information you enter into the scheduler — typically your name, email address and any details the booking asks for — is collected by Calendly under its own privacy policy and shared with us so we can hold the meeting. A campaign parameter travels with senior living bookings so we can tell which page a booking came from.

Cookies and Similar Technologies

We use a small number of cookies and similar browser storage:

  • An essential session cookie for the member area. It holds nothing but an opaque identifier — no email address, no membership level, no name. Signing out ends the session.
  • Browser session storage on the free concert pages, used to remember that a registration was just submitted so the confirmation page can be shown correctly. It is cleared as soon as it has been read.
  • Third-party cookies and storage set by the embedded services described below — the analytics and advertising pixel, the Calendly scheduler and the video players.

You can control or clear cookies through your browser settings. Blocking the essential session cookie will prevent sign-in to the member area from working.

Analytics and Advertising

Several pages of our public website include the Meta Pixel, which reports page views and checkout starts to Meta so that we can measure our advertising and reach relevant audiences. The pixel is present on our homepage, the join page, the schools page, the free concert pages and the purchase and registration confirmation pages.

The pixel is not present on our senior living pages.

When the pixel loads, Meta receives technical information about the visit, such as IP address, browser information and the page URL, and may combine it with information it already holds. You can review and adjust how Meta uses information for advertising in your Meta account settings, and browser or device controls that block trackers will also prevent the pixel from loading.

Our public pages also load web fonts from Google Fonts, and one confirmation page loads a styling library from a content delivery network. Those providers receive the technical information needed to serve those files, including IP address.

How We Use Information

We use the information described above to:

  • create and administer accounts, and sign members in;
  • determine what a member or an institution is entitled to watch;
  • process payments, renewals, cancellations and refunds through our payment processor;
  • deliver live programming and replay content;
  • respond to inquiries and arrange introductions and onboarding;
  • set up and support institutional memberships with the institution’s coordinator;
  • send service messages such as sign-in links, billing notices and programming information;
  • protect accounts and the Service against abuse, including rate-limiting sign-in attempts;
  • measure and improve our website and our advertising; and
  • comply with legal obligations and enforce our Terms of Service.

Communications

We send service messages that are part of the membership — one-time sign-in links, billing and renewal notices, and information about programming. These are sent because you hold an account or have asked us for something, and are not marketing.

Where you have given us your details through a form or a booking, we may contact you about the program you asked about. If we send you marketing email, you can opt out using the unsubscribe link in the message or by writing to support@elitepianist.com.

Service Providers

We share information with providers who perform services for us, and only as far as they need it for that purpose. They are:

  • Stripe — payment processing and subscription billing.
  • Netlify — website hosting, form submissions and the member database.
  • Our email delivery provider — sending sign-in links and service email.
  • Calendly — scheduling introductions.
  • Meta — measurement and advertising, through the pixel described above.
  • Our video platforms — delivering performance playback.
  • Google Fonts — serving the typefaces used on our public pages.

We may also disclose information where we are legally required to, to protect our rights or the safety of others, or in connection with a business transfer. We do not otherwise share your information with third parties for their own purposes.

Institutional Participant Information

With an institutional membership, the institution is our customer. Our main contact is the coordinator or facilitator the institution designates, and the information we hold about an institutional customer is typically the coordinator’s contact details and the institution’s own details.

Where an institution asks us to provide individual participant access — individual student or resident access — the institution determines who is eligible. In that case we would hold the information needed to create and support that access, such as the participant’s email address, on the same basis as any other account.

We do not ask institutions for health information, care information or academic records, and institutions should not send them to us. If your institution has its own privacy or data protection requirements, raise them with us during onboarding at support@elitepianist.com so we can address them before access is set up.

Children and Students

Purchasers and account holders must be at least 18 years old. Our website and our purchase flows are directed at adults.

A parent or legal guardian may purchase a membership and provide access that is intended for their child; the parent or guardian is the account holder. A school may facilitate authorized student access through an institutional membership, in which case the school determines which students are eligible.

We do not knowingly collect personal information directly from children under 13, and we do not currently operate a sign-up flow through which a child under 13 can create an account. If you believe a child has provided us with personal information, write to support@elitepianist.com and we will delete it.

Security

We take reasonable measures to protect the information we hold. In particular:

  • the site is served over HTTPS;
  • sign-in sessions and one-time sign-in links are stored only as hashes, so a copy of our records could not be replayed as a sign-in;
  • member passwords, where set, are stored only as salted hashes using a memory-hard algorithm;
  • the browser holds no membership information — every access decision is made on our server;
  • member pages are marked not to be indexed and not to be held in shared caches;
  • sign-in requests are rate-limited;
  • card details never reach our systems; and
  • notifications from our payment processor are cryptographically verified before they are acted on.

No system can be guaranteed completely secure, and we cannot promise absolute security.

How Long We Keep Information

We keep information for as long as we need it for the purposes described in this policy, and then delete it or stop using it. Some retention behavior is built into the Service:

  • one-time sign-in links are valid for 30 minutes and can be used only once;
  • a sign-in session lasts up to 30 days, and ends sooner if you sign out;
  • expired sign-in links and expired sessions are deleted 30 days after they lapse; and
  • a member account is not deleted when a membership lapses, so that a returning member keeps their history and can simply resubscribe.

Billing records are retained by our payment processor and by us as long as needed for accounting, tax and legal purposes. Form submissions and scheduling records are retained by the relevant provider and by us for as long as we need them to respond to and follow up on the inquiry.

Your Choices and Rights

You can:

  • review and update your account details, and manage or cancel your membership, from the member area or through our billing portal;
  • ask us for a copy of the information we hold about you;
  • ask us to correct information that is wrong;
  • ask us to delete your account and the information associated with it, subject to records we must keep for legal, accounting or fraud-prevention reasons;
  • opt out of marketing email; and
  • control cookies and trackers through your browser or device settings.

Write to support@elitepianist.com to make a request. We may need to verify your identity first, and we will respond within the time applicable law allows. Depending on where you live, you may have additional rights; we honor rights that apply to you and we will not treat you differently for exercising them.

We Do Not Sell Your Information

We do not sell your personal information for money. Advertising technology such as the pixel described above can, under some state privacy laws, be treated as “sharing” or as targeted advertising. You can prevent that on our site by blocking trackers in your browser or device settings, by adjusting your Meta advertising settings, or by writing to us at support@elitepianist.com and we will honor an applicable opt-out request.

Where the Service Is Operated

The Elite Pianist, LLC is organized in Pennsylvania, United States, and the Service is operated from the United States. If you use the Service from elsewhere, your information will be processed in the United States and in the locations our providers use.

Changes to This Policy

We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page, and where the change is material we will give notice by reasonable means.
